Position Title: Coordinator, Sales & Sponsorship

Primary Purpose of the Position:

Join a dynamic sales team! The Coordinator, Sales & Sponsorship works across all departments within BIO to ensure proper execution of the entire sponsorship sales cycle. The Coordinator serves as the primary contact for BIO’s registration and partnering teams, as well as for its customers.

The Coordinator is responsible for benefit fulfillment, operations, customer service for all BIO events, data management and onsite logistics. Strong communication skills, attention to detail and the ability to succeed in a deadline-driven work environment are essential.  

 

Responsibilities:

  • Develop a working knowledge of BIO’s portfolio and the promotional opportunities for each event
  • Process and manage benefit fulfillment for signed sponsor contracts, ensuring sponsors receive all promised deliverables across multiple events
  • Support the Director of Sales & Sponsorship and meeting leads in managing and communicating sponsorship opportunities and fulfillment timelines internally across the Sales Team and other departments, and externally to BIO’s outside vendors
  • Liaise with Marketing, Event Operations, Education, Communications, and other internal departments to ensure sponsors are recognized properly on the website, promotional materials, signage, and other communications
  • Work with Director, Sales & Sponsorship and the Marketing team to create and maintain the BIO International Convention sponsorship prospectus & related sales materials
  • Monitor incoming emails/phone calls from customers and respond or distribute to the appropriate staff member
  • Coordinate with sales system’s manager (Salesforce.com) and meeting leads on process improvement, including transferring contract and benefit fulfillment into Salesforce
  • Organize, input, and “clean" data as necessary within CRM to ensure all records are up-to-date and accurate
  • Work with Director, Sales & Sponsorship and meeting leads to compile data and disseminate to internal and external stakeholders (management, key customers, etc.)
  • Other tasks as needed

Requirements:

  • Proficient in Microsoft Suite; advanced proficiency in Microsoft Excel a plus
  • Familiarity with CRM databases (Salesforce a plus)
  • Excellent communications skills – written and verbal (face to face, telephone, and e-mail)
  • Ability to provide high quality customer service to sponsors throughout each event cycle
  • Organized and results oriented
  • High-energy, team player, quick learner, able to multi-task and prioritize
  • College degree or equivalent years of experience
  • 3+ years of related work experience
  • Customer service experience or event management a plus
  • Ability to travel as needed (<15% of the time)
