Coordinator, Partnering Operations

Primary Purpose

The Biotechnology Innovation Organization (BIO) is the world's largest trade association representing biotechnology companies, academic institutions, state biotechnology centers, and related organizations.

As a significant benefit, BIO offers an online Partnering system, which provides an effective tool for companies to arrange B2B meetings with each other at events. BIO One-on-One Partnering allows individuals to communicate and schedule meetings with prospective investors, business development professionals, and corporate executives.

The purpose of this position is to provide support for BIO One-on-One PartneringTM system meeting operations and software. Coordinator will help with the administration of the BIO One-on-One Partnering™ system for both BIO and externally-hosted conferences. Coordinator will contribute to partnering system development activities, including aspects of the partnering system that involve user experience, product testing and quality assurance (QA), and customer service.

Responsibilities

  • Develop expertise and fluency in BIO’s One-on-One Partnering system, a meeting facilitation tool used at partnering conferences, both in front-end and administrative functionality.
  • Develop expertise in the software and tools used by BIO’s Partnering Team, including Salesforce, Experient, Fonteva, Egencia,Expensewatch, and Marketo.
  • Work as a sponsor customer success associate for support of the BIO International Convention and other partnering conferences.
  • Provide support to handle customer service calls & requests, staff customer service/partnering desk on site at partnering events, support the efforts of Customer Success Associates for both sponsors and other key customers involved with Business Forum or Exhibitor Partnering.  
  • Provide partnering customer service, which includes data entry, partnering account creation, processing requests, scheduling one-on-one meetings for/between event attendees, investors, member companies and event sponsors.
  • Provide support to external conference organizers on partnering system setup, best practices, operational recommendations, and other areas to improve the attendee experience for events licensing the BIO One-on-One Partnering system. 
  • Provide partnering data analysis, research (e.g. company background research), and technical work (e.g. mass emails in Marketo).
  • Identify areas of improvement based on customer feedback or personal analysis of operations for BIO’s Partnering Team.
  • Perform quality assurance testing on the BIO One-on-One Partnering system in desktop and mobile environments to identify bugs and verify enhancements.
  • Provide administrative support as necessary, including submitting expense reports, booking travel, ordering supplies.

Required Background and skills

  • Outstanding customer service with internal and external audiences.
  • Computer savvy (Word, Excel, Access, Outlook, PowerPoint, CRMs, and other databases).
  • Strong phone/verbal, email and writing skills
  • Knowledge of general office procedures and machines
  • Knowledge of the biotechnology industry, science, the financial industry or investor relations in the health care space a strong plus
  • College degree or equivalent years of experience
  • 3+ years of related work experience
  • Experience planning, organizing, and prioritizing operational tasks and projects
  • Experience in problem solving, business analysis and being a self-starter on projects a strong plus
  • Non-profit or membership organization experience a plus
  • Capacity to travel up to 15% of time (domestic and international).
