2020 Exhibitor Service Kit is Now Available

    Pavilion Exhibitor Tool Dashboard (PET) is Now Live

    It's time to begin entering your exhibiting companies within your Pavilion utilizing the PET. This tool provides you with convenient access to add, edit, and/or change your participating companies, assign Booth Personnel Badges and Exhibitor Partnering Accounts.

    1. Upload Sharee Companies in your Pavilion Dashboard. By now, you should have received your login information to the PET. If you have not, please contact us at or call 202-312-9264. Once you login, begin uploading sharee companies.  Instructions on how to use the PET can be found here.

    Note: To be included in the 2020 BIO International Convention Onsite Guide, which will be distributed to all attendees onsite, all sharees must be uploaded by April 16, 2020. Please allow 72 business hours for sharees to be approved.

    2. Select Product Categories in your Pavilion Dashboard. We encourage all exhibitors and sharees to select product categories for your organization through your Dashboard. It’s a great tool for attendees and companies to find you in our online exhibitor list.


    Exhibitor Badge Registration Opens Mid-March 

    All primary booth contacts will receive an email once the system goes live in mid-March. Then you will be able to register your exhibitor badges via the Exhibitor Dashboard.

    If any of your personnel are also registering for Convention Access or participating in Business Forum Partnering, please register now.

    Please Note: Your exhibit booth contract includes 1 or more complimentary Exhibitor Partnering accounts that enable you to schedule partnering meetings in your exhibit booth. It may also include complimentary Convention Access passes based on your BIO membership status and booth size.  We recommend waiting until exhibitor badge registration opens to register those attendees/booth personnel who will be managing Exhibitor Partnering accounts or utilizing complimentary Convention Access badges.


    Important Tips for Exhibitors Hiring Appointed Contractors

    BIO partners with the Exhibitor Appointed Contractor Association (EACA) to help ensure your selected contractor has the proper credentials to install and dismantle any services for your booth. Although contractors make an agreement of services with exhibitors, they must register with EACA and ESCA in order to enter the hall during move in. Registration instructions are available through the EACA guidelines in the service kit in case you have any questions. 

    Please Note: The guidelines contain information holding the exhibiting company responsible for any remaining balances at the end of the exhibition. We recommend having several conversations with your contractor regarding budget to reduce surprises onsite once billing is processed.

    A Message from our Contractor: Tips to Consider 

    • Eliminate or minimize overtime expenses by planning in advance.

    • Place your labor order prior to exhibitor move-in to take advantage of the maximum discount. Labor orders placed at show site are subject to surcharges of up to 40%.

    • Through Freeman Online exhibitors can find in depth information on material handling services that include: material handling rate classifications, pricing, definitions for special handling and more!

    • Include Booth number and Exhibiting Company name on shipping labels to avoid confusion/ misplacement.


    Overview of Exhibitor Booth Partnering

    BIO One-on-One Partnering™ is an online platform that enables attendees to identify prospective business partners. Exhibitor Booth Partnering is available to exhibitors that are independent or within a pavilion as part of their exhibit package. These meetings are conveniently scheduled in meeting points within individual exhibit booths and pavilions in the Exhibit Hall. 

    Partnering will open in early April and each company’s Exhibitor Partnering Contacts (EPCs) will receive their login information. If you have any questions, please contact
