Manager, Event Registration & Analysis

Primary Purpose

Biotechnology Innovation Organization (BIO) is the world’s largest advocacy association representing member companies, state biotechnology groups, academic and research institutions, and related organizations across the United States and in 30+ countries. BIO members are involved in the research and development of innovative healthcare, agricultural, industrial and environmental biotechnology products. BIO also produces the BIO International Convention, the world’s largest gathering of the biotechnology industry, along with industry-leading investor and partnering meetings held around the world.

The Manager, Event Registration & Analysis, will lead registration operations for all pertinent meetings, conferences, courses, and events and pay specific attention to customer data collection, maintenance, analysis, and reporting. Additionally responsible for customer service, this position manages and supports all aspects of registration (pre, post, and onsite) and collaborates cross-functionally to support efforts to grow attendance, relative revenue, and enhance customer experience.

ESSENTIAL Responsibilities

The responsibilities include, but are not limited to:

  • Maintain a complete understanding of registration protocols associated with every BIO event and the specific nuances among them.  Recommend and implement modifications and enhancements to systems where necessary.
  • Develop and maintain reports and produce compiled data, as needed, for promotional efforts, budgeting, strategic reference and, post-event analysis.
  • Use data mining to extract data sets and identify correlations and patterns to help predict trends in the customer base; identify and recommend new revenue opportunities; and monitor data quality.
  • Collaborate with registration vendor and BIO IT Department to outline registration requirements and tailor systems and processes to align with specificities of each event.
  • Assist Director, Registration & Customer Care with event registration post-event financial reconciliation, annual budget estimate compilation, and financial audit reporting.
  • Manage and support the development and beta testing cycle for registration sites.
  • Support the management and training of temporary data entry and customer care staff.
  • With Director’s guidance, work with the general services contractor and event logistics staff to plan and coordinate onsite registration commensurate with the size and scope of each event. 
  • Manage the onsite registration experience for relevant events to include auxiliary staff training and oversight, monitoring and reporting on onsite attendee data; managing onsite payments, and general customer service,
  • Manage the temporary onsite staff and associated vendor(s) relevant meetings and events by reviewing the vendor contract and advising the Director, Registration & Customer Care of necessary updates, compiling staffing needs from all BIO Staff, and working with the vendor to facilitate requests.
  • As a customer care team member, provide customer service to everyone registering or otherwise participating in BIO events with timely resolutions to inquiries.
  • Participate in relevant planning team meetings and discussions and serve as the primary point person for attendee intake, reports, analysis, and administration.

Required Background, EDUCATION, and skills

  • College degree or equivalent years of experience
  • 3-4 years of non-profit or membership-based organization experience preferred
  • 3-4 years of registration/tradeshow experience preferred
  • Strong computer literacy and proficiency with Microsoft Office products, specifically Microsoft Excel
  • Experience with Association and/or Relationship Management databased (Salesforce/Fonteva experience a plus), including web applications; high comfort level with adapting to new technology and tech systems
  • Excellent customer service and problem solving skills
  • Strong organizational skills and attention to detail with the ability to manage deadlines, prioritize workload, and quickly adapt to changing needs.
  • Proactive, assertive, self-motivated and requires little supervision.
  • Comfortable in a team-oriented environment.
  • Ability to travel to several BIO conferences annually, which could be 10%-15% of work time.
